Using Team Tables for MS Mail Merge
Link to: Job Market ListsEditing the tables: Save the abridged job market table for a given month to your own computer and open it. Our abridged lists are taken from the JOE list sorted by employer (they can also be browsed at the JOE website by job classification category or geographic location). Open the JOE list for the same month in another window. The online JOE lists provide complete job details to supplement the information in the abridged lists.
Use the "Table" menu or right mouse button to "Insert" rows in the abridged table for jobs you wish to add from the JOE lists, then cut and paste the information into the columns. Make sure you correct the address format. Be sure to include information about jobs to be applied for electronically. Use the "Table" menu or right mouse button to delete the rows from our table with jobs that do not interest you. Save your edited table and close the JOE window.
Combining Tables. There are several ways to do this. Here is just one: Open the separate edited table documents.Select all the rows in one table (i.e. everything except the headings). From the toolbar, choose Edit, Copy. Switch to another table document. With cursor at beginning or end of next table, from the toolbar, choose Edit, Paste Cells. Save under another name. Repeat and save for next table. We recommend you combine tables after adding and deleting rows--but before adding new columns (merge fields).
Optional: Adding new merge fields to the Tables. To "personalize" your letters (i.e., add a salutation and/or other variable data), insert a new column in the table for each new field, assign a heading or field name, and type the appropriate text in each row. If you wish to indicate in your letter the position for which you are applying, the first column of our table could be adapted for this purpose. (The order of the columns in the table, or their width, is not relevant.) Save the edited table. It is ready to use for job market labels and letters.
